Writing Buyer Requirements That Get Better Quotes
October 2026 · 3 min read
Suppliers skip vague requirements. A clear, complete requirement gets more responses, sharper prices and fewer back-and-forth messages.
Be specific about the product
Name the product with strength, size or model where relevant — “Paracetamol 500mg tablets, blister pack of 10” beats “paracetamol”. Add specifications and reference standards in the description.
State quantity and unit honestly
Suppliers price by volume. A realistic quantity with the right unit (boxes, strips, units, kg) lets them quote MOQ-accurate prices instead of padding for uncertainty.
Give a location and timeline
Delivery city and required-by date affect freight cost and feasibility. Suppliers nearby can respond with better landed prices.
List required certifications
If you need WHO-GMP, ISO 13485 or a drug licence copy, say so up front. It filters out unsuitable suppliers and speeds up shortlisting.
